MINUTES FROM OCTOBER 14, 2008
BOARD OF TRUSTEES’ MEETING - MINOT SLEEPER LIBRARY
PRESENT: Deborah Doe, Shirley Yorks, William Barrett, Glenn Dorr, Deborah Gilbert, Librarian; Wendy Costigan, Secretary; Barbara Greenwood, and Nancy Gavalis
ABSENT: Roger Nichols, Chair; and George Corrette, Treasurer
SECRETARY’S REPORT: The minutes from the September meeting were reviewed by all those present. Barbara Greenwood made a motion that the minutes be accepted. Deborah Doe seconded and the motion carried.
TREASURER’S REPORT: None
LIBRARIAN’S REPORT: Deborah Gilbert reported the following:
· New blog spot on the web: this can be updated daily with announcements, pictures, and a place to subscribe to updates with an email address.

· Preschool story time started on Friday mornings. Last Friday there were 27 children and 17 adults!
· Deborah wants to invite the town manager, fire chief, and trustees to come to a Friday story time and see the crowd first hand. She is uncomfortable about the number of people downstairs.
· A budget for 2009 has been created. The original proposal included a 14% increase but that has since been cut to a 6.5% increase over the present budget. The 6.5% increase equates to $6,755. The increase includes more hours for more help during summer hours and story times. The town has requested that budgets be level funded.
· Library town budget meeting is the Monday before Thanksgiving.
· Brown bag auction is coming up. Deborah has requested $75 to fill the bags to be auctioned off. The bags will include two movies and three books. William Barrett made a motion to approve giving the librarian $75 for the auction. Barbara Greenwood seconded and the motion carried as all were in favor.
· Halloween trick or treating hours are from 5-8 in Bristol on October 31st. Deborah has requested donations of bags of candy as she is expecting around 500 children.
CORRESPONDENCE: None
OLD BUSINESS:
· Roof update- a bid has been received from a Vermont company for $25,000 to replace the annex roof and fix the slate roof. The last bid was for $12,000. The town manager will include the annex roof in the assessment that is being done of the town property roofs that need work.
· The annex building has been deemed not suitable to be used as a temporary space for the library when the addition work is being done. Renting modulars for extra space was discussed.
· Slate roof repairs would qualify for Moose plate grant money.
· Library needs an RFP ( request for proposal) from the fire chief for the alarm system. Bid requests have been sent to three companies: Mango, 123, and IDS.
· It is time to reapply to LCHIP for the grant. Deborah Doe will do this.
· The bathroom is fixed. The new tile is complete.
· The swale is paved.
NEW BUSINESS:
· There is a large furnace in the annex building that is not being used. Mark from the highway department would like to have it for highway department use. Deborah Doe made a motion to give the furnace to the highway department. Shirley Yorks seconded and the motion carried as all were in favor.
· The shelving next door is not suitable for use in the expansion. Raymah at the town hall is looking for shelves. Glenn Dorr made a motion to give the shelves to the town clerk. Deborah Doe seconded and the motion carried as all were in favor.
BUILDING COMMITTEE: None
The next meeting is scheduled for November 11, 2008 at 4pm at the library. Glenn Dorr made a motion to adjourn. William Barrett seconded and the motion carried.
