MINUTES FROM JANUARY 13,2009
BOARD OF TRUSTEES’- MINOT-SLEEPER LIBRARY
PRESENT: Roger Nichols, Chair; Barbara Greenwood, William Barrett, Deborah Doe, Deborah Gilbert, Librarian; Nancy Gavalis, Wendy Costigan, Secretary; George Corrette, Treasurer; Shirley Yorks, and Glenn Dorr.
ABSENT: None
SECRETARY’S REPORT: The minutes from the November 11th meeting were reviewed by all those present. Barbara Greenwood made a motion to accept the minutes. William Barrett seconded and the motion carried as all were in favor.
TREASURER’S REPORT: George Corrette reported the following balances:
· $11,807 in checking
· $86,585 in the investment pool
· $90,433 in the stock portfolio
· a check in the amount of $655 was received for reimbursement of copies made at the library
William Barrett made a motion to accept the treasurer’s report and Nancy Gavalis seconded. The motion carried as all were in favor.
LIBRARIAN’S REPORT: Deborah Gilbert reported the following:
· Cookie buffet was very successful with $700 raised! The cookie buffet will run again next year also.
· Debbie Gilbert attended the Rural Development workshop for applying for a grant. The town would have to apply in the library’s behalf.
· Circulation broke the 31,000 mark with over 18,000 patron visits. Of those 18,000 visits, 10,000 were in June, July, and August.
· Circulation increased by 3,000 over last year (10%). Patron visits increased just over 3000 visits.
· There were over 1,700 volunteer hours at the library, which is equivalent to a full time position!
· Mike McKinley will start a 3 part lecture series on the life and times of Abraham Lincoln. The dates are January 29, February 12th and 28th.
CORRESPONDENCE: None
OLD BUSINESS: Deborah Doe looked in the LCHIP grant. The grant is not being offered this year due to lack of funding.
NEW BUSINESS:
· The garden club will hold their sale on June 6th in the top lot
· Town meeting - an informational packet is being drafted with graphs and statistics to be available for the public.
· Library budget is probably going to lower this year
· Marcia Morris is the town’s new grant writer. Debbie is meeting with her this week.
· There was a discussion on trying to create a Trustees Annual Fund which would include a newsletter with a recognition page.
· Debbie Gilbert called the Community Development Block Grant. The funds available are mostly for emergency management. The library has been put on the funds availability list.
· Shovel ready - the next step in the building project is to produce the construction plans documents. These cost 8% of the construction costs.
· A new building committee needs to be created with local professional people to help develop a checklist for the project.
· Shirley Yorks, Debbie Doe, and Nancy Gavalis are ending their trustee terms this year.

Deborah Doe made a motion to adjourn the meeting. George Corrette seconded and the motion carried as all were in favor.
