Minot-Sleeper Library Meeting – October 13, 2009

  1. Secretary’s Report:  Deborah Doe reporting;

Moved that the minutes be accepted;  First by Barbara Greenwood, seconded by Nancy Gavalis, motion passed.

  1. Treasures Report: George Corette reporting;

Dave Carr stated that he wanted to meet with George Corette and Debbie Gilbert about the building project.  Dave encouraged the push to get town’s support for the building project.  Debbie Gilbert and George Corette shared graphs showing the growth in the usage of the library.
 $5,000 will be transferred from our checking account to the investment fund. 
The trustees have $150,000 at this time to put to the building fund.

 3.  Librarian’s Report: Debbie Gilbert reporting;
We were able to purchase 106 new books from a grant received from the Children’s Literacy Foundation.  The grant also enabled the Bristol Nursery School to purchase books.  Presentation is at the BES Monday 10/26 at 1pm 
We have received three book grants this year.
17th straight month seeing growth in circulation and patron visits.
This past weekend we had a successful Book and Bake sale run by the Friends of the Library.  $500 was earned from the Book and Bake sale, and $466 from the sale of kayak raffle tickets.  Raffle tickets were also sold at the Bristol Shop N Save.
Preparation for the Brown Bag Auction is proceeding nicely.
On October 22h the library is sponsoring a program titled Victorian Mourning Customs.   The program starts at 7pm at the Masonic Lodge
Halloween – The committee decided that the town would do Halloween on Saturday at 4:30.  Asking for donation of candy.

  2. Old Business –  Kayak raffle.  Sold tickets at the Hebron Fair, the Marathon, Shop N Save, and the Book and Bake sale.   Nancy Gavalis suggested Walmart, Shaw’s, Market Baske for other locations to sell tickets.  Also suggested were the Hebron hunting breakfast and the bi-weekly town breakfast, the Santa is Coming at the community center, the transfer station.

New Business –
 Have hired David Mosley as part time librarian.
Discussed developing the warrant article asking the town for their portion of the money to build the addition for the library.  Start with providing information to the Select board, budget, chamber, rotary club, do a PowerPoint presentation, provide information.  Then move on to the groups that use the library.  Educate the town; get the people to come to the town meeting, vote…
George Corette suggested that we contact the Municipal Bond Bank to run a schedule for us.   Could use this information to assist with our campaign.
Roger Nicholls made a motion that the board of trustees supports the plan to have a warrant article in 2010 to cover the cost of a new addition to the library and to include restoration of the old building, George Corette 2nd, motion passed.
George Corette will contact the Bond Bank to get the needed information about the bond.  The Bond Bank will do the work to get prepared for the bond.  After the Warrant article is written the next step is to get it cleared by the town council.
Copier – The copier salesman stated that they are not able to continue the repair contract due to the difficulty in finding pairs if it would need to be repaired.  Debbie Gilbert stated that is works well and only has made about 60,000 copies.  Roger Nicholls – made a motion that we continue to use the copier until it no longer works.  Barbara Greenwood 2nd,  Motion passed.
Department of labor is coming to check for safety in the town buildings.  We have a problem with the two front doors.  Carpenter will come by to look at the front doors.  The handicapped railing is loose again.  Rail needs to be replaced.  Carpenter will also look at that.  Suggestion made to take the money that has been allocated from the town, or to move money around from the budget. For safety reasons we need to have five-wheel chairs instead of four-wheel chairs in the library. 
DVD problems with people checking out a lot of DVDs and not returning them.  Suggested that they limit them to four per family.  Can be difficult to monitor.  Will put a sign up saying that they are limited to checking out four per family.  Have lost about 100 DVDs this past summer.
Glenn Dorr talked about  the campaign to fund raise, Facebook and email updates.    Talked about other donations that can be made.  People are still interested in donating money for Memorial Bricks at the side entrance for the new addition.
Have about 60-70% of the collection have been bar coded. 
Library has started a current event club that meets on Thursday after school for Middle and High School Students.
