MINUTES FROM FEBRUARY 10, 2009
BOARD OF TRUSTEES’ MEETING - MINOT-SLEEPER LIBRARY
PRESENT: Roger Nichols, Chair; Nancy Gavalis, William Barrett, Glenn Dorr, Wendy Costigan, Secretary; Deborah Gilbert, Librarian; Deborah Doe, Barbara Greenwood, Shirley Yorks, George Corrette, Treasurer; Molly Owen, and Sue Brundrett.
ABSENT: None
SECRETARY’S REPORT: The minutes from the January meeting were reviewed by all those present. Barbara Greenwood made a motion to accept the minutes and William Barrett seconded. The motion passed as all were in favor.
TREASURER’S REPORT: George Corrette reported the following balances:
· Checking: $11, 820 (some of this will be transferred to the secure investment pool)
· Investment pool: $87,000
· Stock portfolio: $76,643
Deborah Doe made a motion to approve the treasurer’s report. Glenn Dorr seconded and the motion passed as all were in favor.
LIBRARIAN’S REPORT: Deborah Gilbert reported the following:
· Alarm maintenance is done - it works well.
· The new cleaning company ( Alternative Cleaning Solutions) has started. The company suggested waxing the upstairs floor and replacing the rugs. New rugs will be installed.
· 16 people attended the first installment of the Lincoln series by Mike McKinley. There was a great write up in the local paper.
CORRESPONDENCE: None
OLD BUSINESS:
· Glenn Dorr produced a packet of public service announcements to be shown on the local television channel. Each has information about the library and a picture of the model of the new library building.
· The 2008 newsletter has been distributed around town in area establishments.
· Deborah Gilbert and Roger Nichols met with the town grant writer, Marcia Morris. They discussed the economic stimulus proposal for the library building project.
· Glenn also created a letter that can be given to people asking them to participate on a finance committee for the library building project.
· Budget update: the final budget amount was set for the library. The CIP did not recommend money for the capital reserve fund this year. A budget committee member recommended that $25,000 be place on a warrant for the Library Reserve Fund.
NEW BUSINESS:
· Roger Nichols wrote a letter to Demont & Associates, a professional fund raising firm, to ask to be considered for the Demont Difference Fund program.
· Deborah Gilbert attended a meeting with the selectmen and the town manager about shovel ready projects. The library building project was one of three projects selected to be submitted to the state for stimulus money.
· A letter to Deputy Attorney General Orville Fitch, Director of Economic Stimulus Office, was signed by all library trustees and submitted with a packet by the town.
· The Literacy Circle of the Minot-Sleeper Library will hold a women’s tea at the Homestead Restaurant on May 9th. Sixty tickets will be sold and $10 of every ticket will go to the building fund. The Friends of the Library is administering this event.
· The petty cash account is set at $40. Deborah has asked to have this account increased to $50 per month. Barbara Greenwood made a motion to increase the petty cash account to $50 and Glenn Dorr seconded. The motion passed as all were in favor.
· The annual meeting of the library trustees is March 17, 2009.

William Barrett made a motion to adjourn the meeting and Roger Nichols seconded. The motion carried as all were in favor.
