Minot-Sleeper Library Meeting – April 14, 2009

  1. Secretary’s Report: Wendy Costigan handed out the updated list of trustee’s addresses and e-mails.

Moved that the minutes be accepted; First by Bill Barrett, seconded by Roger Nicholls.

  1. Treasures Report: Reviewed the checkbook balance, downed because we transferred building fund and class action suit money to the building fund.  Stock portfolio is up this month. Moved to accept report; first by Roger Nicholls, 2nd. Sue Brundrette.
  2. Librarian’s Report - State Library annual report has been completed.  We received two NH Humanity Council grants, The June program is on 19th century music and the other one in July is on Quilting. 

-Mike McKinley’s logging talk was a big success, 32 people. 

-Bristol Historical Society (Lucille Keegan) found the original minutes from the MINOT-SLEEPER Library and has passed them on to the library.

  1. Correspondence - Receive a few memorial gifts in George Emmons’ name, from Cindy Rogers.  Gifts will go toward the Building fund. 
  2. Old Business -  Debbie Gilbert talked to Stephen Cullnane, the Asbestos Program Manager for the NHDES, Air Resources Division.  He stated that the asbestos floor cover can be fixed with wax coatings and some new mats.    He said to look for mats that will keep out the sand.  Mats for behind the library desk.  $200-250 for the waxing.  The trustees will pay for the waxing now and put into the town for reimbursement in June.  We will have a dusting party after the waxing has been completed.
  3. New Business:  Reviewed our over due policy.  First change - The old policy stated that when a card patron had something overdue for a year they would have their library privileges rectified.  Change will be made to make it “When something is overdue for six months”.

Second change- It is too difficult to keep track of the letters written to people that have overdue books.  Want to eliminate the sending of the letter.

Roger Nicholls – Will we readdress this issue when we are bar coding?  Yes.

Move to change the two parts of the policies – first by Glenn Dorr,  seconded  by Sue Brundrette and Roger Nicholls

Computer User’s Agreement -  Problem – The policy needs to be changed to include that underage users using wireless need to get permission from parents.  Cannot use their wireless at the library without permission.  Parent needs to come into the library to sign the permission form.  “This includes the public access and wireless.” – wording. First by Debbie Doe, 2nd by Nancy Gavalis.

Summer problem – Limit the number of computer sessions a person can have during the day.   A lot of libraries have limited people to 2 sessions per day.  (that would add up to one hour per day.)  Need research on the public access - You can put a timer on the computer that runs out or lets you know when your time is up.  Librarians will research. 

 

Fund raisers – It was suggested that we have a Rubber Duck Regatta.  1,000 ducks at 5 dollars.  ($5,000!)

Debbie Gilbert went to the NH Preservation Alliance – Thinking about having a historic assessment completed on the building they give you suggestions on what to do, how to do it, where to get funds.  Benefit is that if you have had one of these studies done it gives you an advantage when you apply for grants.  Costs money but there are grants that would cover this cost.  Will take a while to set it up.  Will help stage it, so you know what to do first, second…  Christopher Closs and Company out of Hopkinton.  Debbie Gilbert

 will get more information.  2nd – Fund Raiser - Betsy McNamara Consults with organizations on how to find money and how to find people to donate money.    George Corette said that the NH Electric Coop may help to pay.

Community Development Block Grant – Debbie Gilbert signed up to attend meeting May 5th.  Switching over to an online application.  NH Charitable Trust – Discussed – there is money for studies, but not for follow through on building.  We are the notification of funds available mailing list, but we are low on the list to receive funding.

            Stimulus money discussion. 

            George will be gone May, June and July; Debbie Doe (assistant treasurer) will take care of funds.

            Ruth Herron was a trustee for the library for many years, will send a note and a donation to Nana in her memory.
